Privacy Notice

Sandy Ray Ltd operates Book Birds and is responsible for how personal information is used on this site. You can reach us through our Contact page.

Newsletter signups

If you choose to subscribe, we ask for your first name, surname, email address and town or area. We use your name to identify and address you and your email to send The Book Birds Letter, which includes book recommendations, events and updates. Our lawful basis for sending the newsletter is your consent. Sharing your reading preferences or interest in a future chapter is optional.

We record when you signed up, which signup form and wording you saw, and a broad source category when available, such as Instagram or search. We keep signup records to demonstrate consent and honour your choices. We use your town or area, optional preferences and broad source category under our legitimate interests in planning local chapters, improving content and understanding how readers find us. You can object to this use through our Contact page.

Audience reporting and website traffic

We use anonymous audience totals and summaries to understand the club and to describe it to prospective sponsors, advertisers and partners. We do not share individual subscriber records with them.

If we enable Cloudflare Web Analytics, we use it to understand visits, page views, broad geography and referring websites. It does not use analytics cookies or advertising profiles, and we keep website traffic reports separate from the subscriber list. Our legitimate interest is understanding how people find and use the site so we can improve it.

Contact form

We use your email address and message to respond to your enquiry and keep a record for as long as needed to resolve it. Our lawful basis for general enquiries is our legitimate interest in responding to messages. For data protection requests, we use the information to meet our legal obligations.

Who handles your information

We use trusted third-party service providers to collect and securely store newsletter subscriptions and contact form submissions, and to manage email communications. Your information is used only for the purposes described in this notice and is not sold to third parties.

Some information may be processed outside the UK, including in the United States. Contact us for information about international transfers.

Unsubscribing and retention

You can withdraw your consent at any time by replying to a newsletter or asking to unsubscribe through our Contact page. Withdrawing consent does not affect processing that took place before you withdrew it.

We keep your details on the active list while you are subscribed. When you unsubscribe, we remove you from the active list and remove your audience preferences from the working register. We may keep a limited record for as long as needed to honour your opt-out or demonstrate compliance. Anonymous audience totals may be kept for longer to show trends.

Your data protection rights

Depending on the circumstances, you can ask us to give you access to your personal information, correct or erase it, restrict its use, or provide it in a portable format. You can object to its use for direct marketing at any time.

To exercise your rights, use our Contact page. You can also complain to the Information Commissioner’s Office (ICO).
